BIG ISLAND OF HAWAII REGION SCCA

BOARD MINUTES
APRIL 9, 2008
KONA

PRESENT: Jim Cohn, Paul Zabel, Jonathan Spiegel, Barbara Archer
ALSO PRESENT: Brian Dorr

CALL TO ORDER: The meeting was called to order by Jim Cohn at 6:20 p.m.

MINUTES: The minutes of the March 12, 2008 meeting were presented for approval.
M/S, Jonathan/Paul. To approve the minutes as presented.
MOTION PASSED – Unanimous.

FINANCIAL REPORT:

The financial status is essentially the same as last month. There are no material changes in the financial statements. The next financial statements will reflect the March 30 event revenue and expenses. We received $420.00 membership fees from National. The March Solo event gross receipts were $1,294.00.
M/S, Paul/Barbara. To accept the financial report as presented.
Motion passed – unanimous.

MEMBERSHIP REPORT:

Membership Numbers: We currently have 64 members, counting the six members signed up at the March 30 event. Existing club members are bringing in their friends.

Jim suggested we get a “rivalry” going such as the Oahu Miata-Honda rivalry. A Subaru-Miata “rivalry” is a possibility.

Competitors can develop mini events within the overall event.

Solicitation Activities: Brian reported getting calls from the brochures passed out. Brian requested a member list with cars added.

Membership Survey: The survey is 50% completed. We did not pass out surveys at the last event. We need to pass out surveys and complete the survey process at the April event.

Membership Brochure Insert: Brian presented a brochure insert designed to promote membership in the Big Island of Hawaii Region SCCA. The insert gives Brian’s contact information and the date of the next event. The following was suggested:

  • Include the dates of at least the next 2 events;

  • Include a business card with logo and contact information.

NAPA Discounts: Gary Carlson is the NAPA contact person. Brian will call Gary and get him an SCCA member list to establish a discount program for SCCA members. Jim suggested a group purchase approach and gave examples of his thinking.

There is also a Mazdaspeed discount program available.

Contingency programs usually require log books as evidence of a competitor’s participation in racing events.

Website Development: Paul and Jim are working on this project. Jim presented his suggestions for website content. An extensive discussion followed. Paul recommended an outside hosting site for the website. This will be on next month’s agenda.

Dual Member Luau: There will be a dual member luau at the Oregon Region July 4,5,6 race. The luau will include food, door prizes, and hula. Barbara will get a list of “door prize” needs out. Barbara will also notify the general membership of the luau.

RACING EVENTS:

Solo Report:

March Event: The major issue at events continues to be the timing and scoring system. With the large number of entries at the March event, registration was quite slow.

April Event: The April event will be as planned. The course will feature a single S/F. Jonathan will contact Kirk regarding the new T & S system.

July Event Addition: The July date is Sunday July 6. There was a general discussion about the event date and event possibilities. No specific decisions were made. This will be on the May Board Agenda.

Policy Regarding Entries After Registration Closes: A policy was presented for review and discussion. It was recommended that we add no first time participants may enter after registration closes.
M/S. Jonathan/Paul. To accept the policy with the addition of the provision regarding no first-time participants.
Motion passed – unanimous.

Car Control Clinic: Jonathan will contact National regarding SSS using our CCC format. Jonathan suggested we should plan our own CCC whether or not we do a SSS. This will be on the May Board meeting agenda.

CCC Budget: A preliminary CCC budget was presented. The following changes were made:

  • $25.00 per person (60) for meals

  • A profit margin

  • Add sanction and insurance -- $250.00

The preliminary budget will be updated and emailed to board members and Brian.

Dual Sanctioned Road Race: The dates for the dual sanctioned road race with Northwest Region are firm July 18-20. We do not yet have final confirmation that the race is a “go”.

We will need door prizes for the event. Barbara will get a list out.

Mazda Championship: The planned meeting did not happen due to an emergency. Bill was to follow up. Barbara will try to re-contact Chuck Furtado.

RE’S REPORT:

Future Driver’s School: McKeever’s driver school may be available for a package price of $2,000.00 including car and safety equipment. This would be a two-day school. Travel and lodging will still make the overall package around $3,500.00.
